Repairs & Maintenance Procedures

All vendors are licensed and insured and offer Compass discounts for the volume of work Compass provides. The law requires all vendors to sign out keys. Our staff inventories and accounts for all keys.

Heater Maintenance
The Process

– A repair is requested. The repair request is logged into the property management software. A work order is created and assigned to a vendor. The vendor is contacted and scheduled as soon as possible. The vendor comes to the Compass office and picks up the workorder and signs out the property key. The Compass maintenance supervisor communicates with the vendor and the tenant about the repair. Once the repair is completed the Compass maintenance supervisor inspects the repair for quality of work and to verify its completion. The vendor submits an invoice to Compass. The invoice is entered into the software system and will show up on your owner statement. The bill is due within 10 days of posting. If you have rental income which will be distributed with 10 days, the bill will be deducted from your rental income. If you have a credit card on file with Compass the card will be charged for the outstanding bill. If you do not have a credit card on file, you should contact Compass with a credit card or mail a check to Compass within 10 days.

Please understand our ability to pay our vendors in a timely manner is imperative. Vendors paid quickly translates into rapid response times and discounted rates.

A/C Maintenance Program

Compass offers an annual A/C Maintenance program. We strongly encourage you to take advantage of this program. The maintenance program will help you avoid costly after-hours emergency calls. The cost is $335 annually. Many of our work orders are A/C issues and in many cases can be avoided with proper preventative maintenance. A/C in Florida is considered an emergency situation. If the A/C cannot be repaired quickly will require relocating your guest and you losing rental income.  The program is completely managed by the Compass maintenance division. Attached is the information about the program and authorization form.

In addition, we also offer a drain line vinegar flush service on a quarterly basis. 90% of our AC calls are a result of a clogged drain. This service will help combat clogged drains, if you choose not to sign up for the AC service. The cost is $15 per visit or $60 annually.

The Compass maintenance supervisor accepts all maintenance requests. He/she uses their best efforts to troubleshoot all repairs. Whenever possible we will make the repair in house to save you money. If there is a question regarding the repair, someone from our maintenance division will inspect the issue to determine the proper course of action.

When necessary, Compass will contact a third-party vendor to make the repair or replacement. You can view all workorders through your owner portal. The workorder will have a short description providing you with a general idea of the issue. In the long description area, you can find a more complete explanation of the necessary repair. Please understand we do our very best to follow the terms of our Management Agreement. In some cases, if the repair is slightly greater than $500 and requires the vendor to return after owner authorization this will result in an additional trip charge, Compass will authorize the repair to save you money and satisfy the guest promoting good will and repeat bookings.

Nonemergency repair requests will wait until the following business day. If a guest calls the emergency service for a heating or A/C issue after 8:00 pm, the issue may not be able to be resolved until the following morning.
